LightLoop lets you invite teammates to help manage your content — without sharing your Google login. Each collaborator gets their own account with permissions you control.

Inviting a team member

  1. Click your profile picture → Team Members
  2. Click Create Invite Link
  3. Select their permissions (see below)
  4. Optionally set an expiration date for the invitation
  5. Click Generate Link
  6. Send the generated link via email/txt/messaging app
When the invitee clicks the link, they’re added to your team.
Invitation links are single-use and expire when clicked. If the invitee loses the email, you can resend the invite.

Permissions

Each collaborator can be granted any combination of these permissions:

Permissions are additive — grant only what each person needs. Examples:
  • A volunteer media uploader might only need can_upload_media
  • A worship leader reviewing content might need can_upload_media + can_edit_playlists
  • A tech director managing screens needs all three

What collaborators can and can’t do

Collaborators always have access to:
  • The media library (view + upload if permitted)
  • Playlists (view + edit if permitted)
  • Feeds (view + edit if permitted)
  • Sharing playlist preview links
Collaborators cannot:
  • Access the Account Settings or Integrations
  • Invite or remove other team members
  • Delete the account

Updating or removing a collaborator

  1. Go to Team Members
  2. Find the person in the list
  3. Click Edit to change their permissions
  4. Click Remove to revoke access entirely
Removing a collaborator immediately ends their access. Any media they uploaded stays in your library.

Sharing content with other organizations

Team members are collaborators within your account. To share playlists or media with a completely separate LightLoop account — another church, a denomination, a camp — use the cross-organization sharing feature instead. See Sharing for full details.

Pending invitations

Invitations that haven’t been accepted yet appear in a Pending section. You can:
  • Resend the invitation email
  • Cancel the invitation before it’s accepted
